How to fill in a CMR consignment note, box by box
Box numbers follow the international CMR form and the labels in the generator above. The sender fills in most boxes, the carrier adds its own details and reservations, and the consignee confirms receipt in box 24.
- 1
SenderRequired
Name, address and country of the sender, the party that hands the carriage to the carrier. Don't enter the loading warehouse here if it differs from the sender's address: the loading place belongs in box 4.
- 2
ConsigneeRequired
Name, address and country of the party the carrier must deliver the goods to. The consignee need not be the buyer on the invoice; it is whoever is entitled to take delivery.
- 3
Place of deliveryRequired
The exact unloading address, including the country. If the goods go to a warehouse rather than the consignee's office, give the warehouse address.
- 4
Place and date of taking overRequired
Where the carrier takes over the goods and the loading date. Enter the date the goods were actually taken over, not the date the transport was ordered.
- 5
Documents attachedOptional
The documents handed to the carrier with the goods, such as the invoice, packing list, certificate of origin or customs papers. List only those that actually travel with the load.
- 6
Marks and numbersOptional
Markings on the packages, such as pallet numbers or shipping labels. They make it easy to match the pieces to the document at unloading.
- 7
Number of packagesRequired
The number of packages or load units. The carrier checks it at loading, so enter what actually goes on the vehicle.
- 8
Method of packingRequired
The type of packaging, such as pallet, carton, crate or bulk. In the generator you pick a package code and can add your own description.
- 9
Nature of the goodsRequired
The goods in their commonly used description. Avoid vague terms like "goods" or "general cargo"; for dangerous goods give the UN number, ADR class and packing group.
- 10
Statistical numberOptional
The customs tariff code of the goods, such as CN or HS. The box is optional; fill it in when customs or statistical formalities need the code.
- 11
Gross weightRequired
Gross weight in kilograms, packaging included. Don't confuse it with the net weight on the invoice.
- 12
VolumeOptional
The volume of the load in cubic metres. Optional, but useful for bulky, light loads.
- 13
Sender's instructionsOptional
Instructions on customs and other formalities, such as where clearance takes place or the required transport temperature. Keep them short and specific: the driver reads them on the road.
- 14
Instructions as to payment for carriageOptional
Mark whether carriage is paid by the sender (franco) or forward and paid by the consignee (non franco). The detailed split of charges goes in box 20.
- 15
Cash on deliveryOptional
The amount and currency the carrier must collect from the consignee on delivery. If an amount is entered and the carrier delivers without collecting it, the carrier is liable to the sender for it (Article 21 of the CMR Convention).
- 16
CarrierRequired
Name and address of the carrier taking over the goods, plus the registration numbers of the vehicle and trailer. Enter the actual carrier, not a forwarder who only ordered the transport.
- 17
Successive carriersOptional
Details of further carriers when several carriers perform the carriage in turn under one consignment note. With a single carrier, leave it blank.
- 18
Carrier's reservations and observationsOptional
The carrier's remarks on the condition of the goods and packaging at loading, such as damaged pallets or pieces that could not be counted. Without reservations, the goods are presumed to have been in good condition and as described.
- 19
Special agreementsOptional
Arrangements between sender and carrier, such as a delivery deadline, a declared value of the goods or a ban on transhipment. Enter only what the parties actually agreed.
- 20
To be paid byOptional
A table of charges split between sender and consignee: carriage, deductions, supplements, other charges and insurance, with the currency. Make sure it matches box 14.
- 21
Established in / onRequired
The place and date the consignment note is made out. Usually the place and day of loading.
- 22
Signature and stamp of the senderRequired
The sender signs when handing over the goods. The signature confirms the particulars the sender is responsible for, including the description of the goods and its instructions.
- 23
Signature and stamp of the carrierRequired
The carrier or driver signs when taking over the goods. Before signing, check the number of packages and the condition of the load, and write any remarks in box 18.
- 24
Goods receivedRequired
The consignee enters the place and date of receipt, signs and stamps. Note apparent shortages or damage on delivery; damage that is not apparent must be reported to the carrier in writing within 7 days, Sundays and public holidays excepted.
FAQ
How many copies of a CMR do I need?
The CMR Convention requires three originals signed by the sender and the carrier: the first stays with the sender, the second travels with the goods to the consignee, and the carrier keeps the third. The generator prints four copies; the extra one is handy for your records.
Who signs which box?
The sender signs box 22 at loading, the carrier or driver signs box 23 when taking over the goods, and the consignee signs box 24 at unloading. The carrier's remarks on the condition of the load go in box 18 before it signs.
Is a printed PDF from the generator an e-CMR?
No. It is a CMR form to print and sign on paper. An e-CMR is an electronic consignment note whose data and signatures are created and stored electronically, under the Additional Protocol to the CMR Convention.
How is eCMR One different from the generator?
eCMR One is an e-CMR app for road carriers. The driver, sender and consignee sign the note in their phone's browser, from a link sent by e-mail or copied, with no app to install and no account to create. Sending the link by SMS is coming soon, and eFTI gateway integration is in preparation.
